Got our retrieval feature live after a year of false starts

We had been circling this for about a year. Two internal attempts, one other vendor, nothing that survived contact with our actual data. Metacubic scoped it in a week and built against the real thing from day one, which I suspect is why it worked. They also set up evaluation so we could check the output ourselves. Handover was clean and our own engineers run it now.

You talk to the engineers, not an account manager

The people on our calls were the people writing the code. That is rarer than it should be. They told us no twice, on things we had asked for, and both times they were right. One deadline slipped. They flagged it before we spotted it and the new date held.

Eighteen months on and we have not had to rewrite it

That is really the whole review. The queues, the tests, the audit logging were all there from the start rather than bolted on when we grew. We have added a fair bit on top since without needing to call them back.

They were on answer engines before our old agency knew it was a thing

Our previous agency was still sending us keyword position reports. Metacubic were already talking about getting cited inside AI answers. Six months in we turn up in assistant answers for our category, and the reporting we get is tied to pipeline rather than to traffic numbers.

The WhatsApp bot took roughly a third of the calls off my team

Most of what our phone lines handled was the same handful of questions about appointments and paperwork. The bot answers those from our own documentation rather than deflecting people to a form, and when it does pass someone to a coordinator the whole conversation goes with them, so the patient is not starting again. My team were sceptical for about a fortnight and then stopped mentioning it, which from them is approval.
